Main Purpose of Role:

You will be responsible for contributing to the successful delivery of Legal services at the University of Sunderland.

The role holder will provide legal administrative support to the Head of Legal Services and their team of senior solicitors.

The role holder will also assist the team by undertaking legal duties in their own remit. These will include the drafting or reviewing of confidentiality agreements, contractual documentation, licenses to occupy, placement agreements, memorandums of understanding, and any other matter deemed appropriate by the Head of Legal Services or their team. Training, mentoring and ongoing supervision in these areas will be provided.

Key Responsibilities and Accountabilities:

Legal Administrative Support

The role holder will have responsibility for the oversight of the administrative support required by the team. Including, but not limited to:

  • Managing the shared Legal mailbox:
    • Reviewing emails received and ensuring the required level of detail has been obtained to progress each matter. Following up where there are gaps;
    • Assigning matters to the relevant team member;
    • Sourcing relevant precedent agreements from a precedent bank or legal database.
    • Filing:
      • Supporting colleagues to electronically file their emails and any associated documents for each matter;
      • Implementing a structured document version control where required;
      • Maintaining a register of original documents.
    • Monitoring and maintaining the central database of live and complete matters:
      • Adding new matters and assigning a matter reference number;
      • Prepare a monthly activity report for the Head of Legal’s review.
    • Active management of contracts, including the coordination of signatures;
    • Support for the administration associated with placements.
    • General Administrative Support will also be required, such as, but not limited to:
      • Preparing documents and large document packs;
      • Arranging internal and external meetings;
      • Support with formatting documents or adding electronic signatures;
      • Coordinating the signing of those documents which require a wet ink signature;
      • On occasion, attending meetings to note-take.

Legal Work

The role holder will have the opportunity to undertake legal duties in their own remit. Mentoring and shadowing will be offered. These duties will likely include:

  • Assisting the team with:
    • confidentiality agreements, including drafting and advising on proposed agreements;
    • drafting and reviewing contractual documentation, for example grant funding, consultancy agreements;
    • drafting licences to occupy;
    • drafting memorandums of understanding;
    • drafting and offering advice on settlement agreements;
    • drafting non disclosure agreements;
    • assisting with legal research;
    • liaising with external lawyers;
    • assisting with the Due Diligence process;
    • supporting the team in relation to the governance of University subsidiary companies.

The above list is not exhaustive, and the role holder will have the opportunity to participate in a wide range of legal matters.

Special Circumstances:

Annual leave may be restricted at certain times, depending on the availability of other colleagues.

Qualifications and Professional Memberships:

Law Degree with a minimum of 2:1

Knowledge and Experience:

Basic principles of contract law

Familiarity with Office 365 including Outlook, Microsoft Word, Excel, One Drive

Desirable

Qualifications and Professional Memberships:

LPC or similar

Knowledge and Experience:

Work experience within a legal environment and /or experience of working in a customer service environment.

Experience of using online legal research tools

Key Competencies:

Competencies are assessed at the interview/selection testing stage.

General Administrative duties

The role holder will be required to perform general administrative tasks requiring experience and confidence in using MS Office. These will range from basic filing to analysing simple data in Excel, presenting this in report form and utilizing Calendars to schedule meetings with a number of colleagues.

Legal tasks

the role holder will be required to carry out sometimes complex legal research, using this to provide reports or simple draft documents for senior colleagues to review. This will require knowledge of online research tools and experience in working with them and report writing/drafting skills.

In addition, they will either take initial instructions from clients of the team, or seek further information from them on a wide variety of matters. This will require the ability to recognize what is critical information for various types of legal work.

Communication

The role holder will require highly developed communications skills both oral and written as they support the Legal and Governance team and liaise with a wide variety of colleagues at all levels across the University, often having to request or convey complicated information and advice to those with no legal training.

Organisational Skills

The role is a varied one and requires the role holder to have excellent organizational skills and to be able to understand and prioritise competing requirements especially when busy.
