The Job:
The position of legal assistant within our firm requires assistance to the fee earner with progressing property matters from instruction through to completion. As well as provide a PA service to the business, organising travel, events (organise and attend), keep holiday diary up to date, books and prepare conference rooms.

The prime responsibilities are :
To provide effective administrative and secretarial support to their department to enable them to operate with optimum efficiency. Assist the appointed fee earner(s) with progressing Residential and Commercial property matters from instruction through to completion.

To comply with the terms of the Office Manual and any other reasonable request that may be made by the Department Head or another Director and be aware of Risk Management procedures and monitoring of risk particularly in relation to client matters and client monies.

Day to day responsibilities:
Open and progress all new clients and matters through SOS Connect ensuring that all client care and risk management procedures are followed, and that a complete record of the matter is saved to the client matter.
Prepare correspondence and documents following fee earner instructions.
To check work, including correspondence and emails, for spelling, typographical and grammatical errors, ensure that all enclosures are included with correspondence and ensure that all documents going out comply with the practice’s standards of care.
Administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the office manual.
Prepare mail/email and enclosures for dispatch.
Ensure that all details required on the practice’s databases, particularly those within SOS Connect, are accurately completed in full and that such entries are updated as and when appropriate.
Scan incoming mail and save to appropriate file in SOS and distribute to fee earner. Scan file for closure at end of matter.
To monitor the department diary and synchronise with fee earner’s diary and make appointments, as necessary.
Be responsible for liaising with members of your department in regard to holiday arrangements to ensure that holidays do not overlap, and key personnel are not off at the same time.
Provide support to other assistants and secretaries as required, and provide guidance to junior and temporary secretaries when required to do so.
Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the practice’s standards for client care.
Prepare draft bills through SOS Connect for submission to and authorisation by fee earner.

The Person:
Must have previous Legal Administration / Legal Assistant experience, not necessarily in Conveyancing but happy to work in this area across Residential and Commercial.

The Benefits: 25 days leave plus BH’s and some other extras at Directors discretion – Usually Christmas Eve and possibly the three days between Christmas and New Year (but if the latter is not agreed they only ask that staff work one shift from 9-1pm during the Christmas/New Year break. Pension scheme upon completion of probationary period.

Salary: £21,000.00-£24,000.00 per year
